Addressing Council
This information is provided for those who wish to speak to the Islands Trust Council, or to present petitions or correspondence. The process outlined is authorized by the Islands Trust Council Meeting Procedures Bylaw 101. This bylaw is available to the public upon request.
Any member of the public may address the Islands Trust Council at any of its quarterly scheduled meetings, currently held March, June, September and December. You may address the Council formally, by making a presentation (see Delegations) or presenting a petition (see Petitions), or informally at the town hall session. All correspondence, formal delegation presentations and petitions are available to the public.
Petitions
Three weeks prior to a regularly scheduled Islands Trust Council meeting, please provide the Islands Trust Secretary with the name and address of the person presenting the petition, a copy of the petition, and a written request to address the Islands Trust Council. The maximum time for a presentation of a petition before the Islands Trust Council is currently five minutes. This time may be extended if approved by resolution of the Islands Trust Executive Committee before the Council meeting, or by resolution of the Islands Trust Council at the Council meeting.
Delegations
Three weeks prior to a regularly scheduled Islands Trust Council meeting, please notify the Islands Trust in writing of the name and address of the organization (if any), the person speaking and the subject to be addressed. Your request to speak should be sent by mail to:
Executive Coordinator
(Deputy Secretary)
(250) 405-5161
Mailing Address:
Islands Trust
200 - 1627 Fort St
Victoria, BC
V8R 1H8
Main: (250) 405-5151
Fax: (250) 405-5155
Five working days prior to the quarterly Council meeting you need to send a copy of your presentation in digital format (rich text or word) by e-mail or by fax to the Executive Coordinator (see Tips for Making A Successful Presentation To Islands Trust Council).
The maximum time for an appearance of a delegation before the Islands Trust Council is five minutes. This time may be extended if approved by the Islands Trust Executive Committee before the Council meeting, or by the Islands Trust Council at the Council meeting. To ensure it can complete necessary business at its meetings, Council reserves the right to limit the number of delegations it receives at any one meeting.
Town Hall Session
The town hall session normally follows the formal delegations at each quarterly council meeting. This is a chance for islanders to inform trustees about topics relevant to the whole federation. The time available for the informal town hall session will vary, depending on previously scheduled delegations.
Correspondence
Three weeks prior to a regularly scheduled Islands Trust Council meeting, the correspondence should be delivered to the Islands Trust Secretary, along with a written request asking that the correspondence be considered by the Islands Trust Council.
